📚 How to Use the Document Library in CrewCompanion

The Document Library in CrewCompanion is your central hub for accessing essential documents related to your assignments, compliance, health, safety, and more. Whether you're preparing for a port inspection, reviewing company procedures, or looking for medical certification guidelines, this guide will walk you through how to find, view, and manage documents efficiently.


🔐 Step 1: Logging In to CrewCompanion

CrewCompanion is available as:

  • mobile app (Android and iOS)
  • web version accessible via your browser

You can log in using:

  • Your GoogleFacebook, or LinkedIn account (no password required)
  • Or your CrewCompanion credentials if you have them

📁 Step 2: Accessing the Document Library

Once logged in:

  1. Open the main menu.
  2. Select “Marlow Resources.”
  3. Click on the first menu item labeled “Document Library.”

This section contains all general documents not covered by other resource categories (like Union CBAs or MLC complaints).



🖥️ Step 3: Understanding the Interface

The Document Library screen is divided into two main areas:

  • Left Panel – Document Tags: These are categories or keywords assigned to documents (e.g., “Medical,” “Contracts,” “Checklists”). Tags help you filter and locate documents quickly.
  • Main Panel – Document List: This displays the documents available. Each document entry includes:
    • Title (top line)
    • Reference Number
    • Expiry Date (if applicable)
    • Version Number (if applicable)
    • Tags (shown on the left of each document row)

When you first open the library, the most recently added documents are shown by default.



🔍 Step 4: Using Quick Filters

Quick Filters are shortcuts to commonly accessed document groups. They appear above the document list.

Examples include:

  • Marlow Circulars – for company-wide updates
  • Favourites – your personally saved documents

Clicking a Quick Filter instantly narrows the list to that category.



🏷️ Step 5: Filtering with Document Tags

Document Tags allow you to refine your search by topic. These are especially useful when you're unsure of a document’s title but know the subject.

To use tags:

  1. Browse or search the tag list on the left.
  2. Click a tag (e.g., “Contracts”).
  3. The document list updates to show only documents with that tag.

✅ You can select multiple tags to narrow results further.




🔎 Step 6: Searching by Keywords

Use the search field at the top of the screen to find documents by:

  • Title
  • Content (if you want to search inside the document text)



You can toggle between these options using the dropdown arrow next to the search bar.

Example: To find documents about yellow fever vaccinations:

  1. Select the “Vaccination” tag.
  2. Enter “yellow” in the search field.
  3. The list will show documents tagged with “Vaccination” and containing “yellow” in the title or content.


🔢 Step 7: Searching by Reference Number

If you know the exact reference number of a document, use the Search by Reference field for a direct lookup.

Example: Enter CDV-00-060 to find the circular on Yellow Fever Vaccination Certificates.

This is the fastest way to retrieve a known document.


⭐ Step 8: Saving Documents to Favourites

You can mark frequently used documents as Favourites for quick access later.

To do this:

  1. Locate the document.
  2. Click the star icon on the far right of the document row.
  3. The star turns blue, indicating it’s been added to your favourites.

To view your favourites:

  • Click the Favourites Quick Filter.

To remove a document from favourites:

  • Click the star again to deselect it.

  • Please note:  In the App version you need to swipe left on the selected document in order to download or add to favourites


🧩 Step 9: Combining Tags for Advanced Filtering

You can combine multiple tags to refine your search even further.

Example: To find the MLC Inspection Checklist:

  1. Search for and select the “MLC” tag.
  2. Then search for and select the “Checklist” tag.
  3. The list will now show only documents tagged with both.

You can preview each document to confirm it’s the one you need before downloading or saving it.


📄 Step 10: Viewing, Downloading, and Printing Documents

Click on a document title to open it in a preview window.

In the preview:

  • Use left/right arrows to navigate pages
  • Use magnifying icons to zoom in/out
  • Use the cloud icon to download the document
  • Use the print icon (web version only) to print directly

📌 Tip: Be cautious when downloading large files on mobile data, as they may consume your data allowance.

You can also select multiple documents using checkboxes for batch downloading.



Please note:  In the App version you need to swipe left on the selected document in order to download or add to favourites

 



🧹 Step 11: Clearing Filters and Searches

To reset your view:

  • Click “Clear All” to remove all selected tags and search terms.
  • Click on any active tag again to deselect it individually.

This helps you start a new search from scratch.
